Data protection
You should know that we take this extremely seriously at every stage. And we use our best efforts to comply with UK Data Protection legislation including the GDPR.
We fully realise that we ask for a lot of personal information (data) from you to enable us to consider and process your application – we have all done it ourselves in the past and this has enabled us to become members of Glenkerry.
We use your information to see how you might meet our criteria and to prove that you are effective at money management. The service charge that you could end up paying is an extremely important part of the Association’s overall income, and so we need to assure ourselves that you can not only afford to pay it but also meet all the other likely reasonable costs.
Those having access to your detailed personal data are few, often five people or less, and in the vast majority of cases they are members of the Resident Selection Sub-Committee (RSC), where RSC is a near autonomous sub-committee of the Committee of Management. It will be RSC that will process your application. If we need to seek information or help outside of RSC, then we shall use our best efforts to ensure that any identifying data is redacted except when seeking references.
Any application that gets through the first stage will be allocated its own “A” number (e.g. A012345) so that no personal details are shared outside of RSC. Of course, this reference number will be included on correspondence with the applicant.
When an application is submitted to the full Committee of Management, it is only ever referred to by its “A” number, and in reply to any questions asked of RSC we will use our best efforts so as not to include anything which can personally identify you.
Electronically stored data is protected by at least one, sometimes two levels of strong password protection. Any physical documents are stored within the Association’s office in Glenkerry, which has electronic controlled access. The RSC metal cupboard in the office is physically locked at all times when not being used by RSC.
